Group Study Rooms

In order to provide equal access to the Group Study Rooms and to protect the rooms, users are required to abide by the following guidelines. These guidelines are posted on each study room door, inside the room, and are available for distribution at the Reference Desk. Users will be responsible for knowing and understanding these policies before using the rooms.

Purpose of Rooms
The Group Study Rooms are to be used by groups (more than one person) for study, discussions, tutoring sessions and other similar activities. There are other places for individuals to study in the Library, including a quiet study area. Ask at the Reference Desk for more information.

Register at the Reference Desk
One person from the group must sign up at the Reference Desk to use the room. This person must have a valid City of Mountain View Library card and will be responsible for the room's condition during its use (see below). The names of each person in the room must be provided to the Reference Staff. The maximum capacity for each room is four people. When the room is vacated, the responsible person must check out at the Reference Desk. Responsibility for the room ends only after checkout (leaving the room without checking out does not end responsibility). Users are responsible for the room if door is left open. Changing rooms is not allowed without checking in advance with staff at the Reference Desk.

Time Limit
In order to maximize use of the rooms during busy times, there is a one-hour time limit for each group when others are waiting (this limit applies to all people in the group). Each group may use the room for one hour. Use of the room for longer than one hour may be permitted if there is no other group waiting to use the room and if other guidelines in this policy are followed (see next paragraph).

Rules for Giving Up the Room
After the first hour of use a group may be asked at any time by Library Staff to leave to make room for another group. When both rooms are occupied the group that has occupied the room the longest will be the first to give up a room. Once a group has given up the room they must wait one hour before using the room again (even if a room becomes vacant). After waiting one hour the group may sign up again for one hour as described above.

Group and Individual Use
Groups have priority for the use of the rooms over individuals. Individuals may use the rooms only when groups are not using them and will need to vacate the rooms in a timely manner whenever a group signs up to use them.

Users Must Occupy Room
Rooms must be occupied by users continuously. If there is only one person from a group using the room they are treated as individuals (see above). Five-minute rest breaks outside the room are allowed. This break time is included in any time limits. Sign out at the Reference Desk when you are finished. Do not leave property unattended in rooms.

Responsibility for Condition of the Room
The person who signs up for the room will be held financially responsible for any damage done to the room and its furnishings by anyone while occupying the room (from sign in time until checkout time). The responsible person will inspect the room prior to use and report any damage or unclean conditions to staff at the Reference Desk. The person who registers for the room will be held responsible for any unreported damage. The room will be left in clean condition. Eating, smoking, drinking (except capped water bottles) and cell phone use is not allowed in the Study Rooms, or anywhere in the Library.

Reservations
Advance registrations are not allowed except for literacy tutors and learners affiliated with the Vision Literacy Program or Mountain View Adult Education or other organized literacy program. These users may reserve the rooms for a maximum of two hours per week up to thirty days in advance.

Failure to Follow Above Policies
Users not following any of the above policies will not be permitted use of the rooms.
